Troubleshooting
Quick fixes for the most common issues you might run into with Aria.
WhatsApp Not Connecting
- QR code expired — refresh the Settings page and scan the new QR code. Codes expire after 60 seconds
- Session conflict — only one device can be active per WhatsApp number. Log out from any other device or WhatsApp Web session first
- Firewall blocking — if you are on a corporate network, make sure port 3000 is not blocked
Messages Not Sending
- Check your WAHA session status under Settings → Channels. If the status shows “Disconnected”, reconnect by scanning the QR code
- Verify the phone number format is correct:
60XXXXXXXXX(Malaysian format, no dashes or spaces, no leading +) - If messages fail for a single lead, check that the lead’s number is a valid WhatsApp account
Knowledge Base Not Working
- Document still processing — after uploading, allow 1-2 minutes for Aria to index the content
- File too large — the maximum upload size is 3MB per document
- Unsupported format — Aria accepts PDF, DOCX, TXT, and image files (JPG, PNG). Other formats are not processed
If a document uploads successfully but Aria does not reference it in conversations, check that the content is relevant to the questions your leads are asking. Aria only surfaces knowledge base content when it matches the conversation context.
Bookings Not Creating
- Google Calendar not connected — go to Settings → Channels and connect your Google Calendar
- No available slots — Aria checks your calendar for free slots in the next 7 days. If your calendar is fully booked, no slots are offered
- Calendar permissions — make sure you granted Aria permission to view and create events on your calendar
Dashboard Showing Old Data
- Refresh the page — some data updates require a page reload
- Check your internet connection — the dashboard needs a stable connection to fetch live data
- Clear browser cache — if data looks stuck, try a hard refresh (Ctrl+Shift+R or Cmd+Shift+R)
